Use Vendasta Vibe to create Proposals & Signatures tool

My agency is using 3 different pieces of software to facilitate proposal creation (building our brand + trust), signature gathering, and onboarding. I know that the Vendasta proposal tool was sunsetted in February, and now the 'orders' function is the current technical replacement. That said, the Orders function is not UX/UI friendly for end clients. This gap creates a huge break in our sales workflow and any hope of streamlining it with automations. This bottleneck makes it hard for me to envision pitching the current CRM AI to clients if we, ourselves, are bottlenecked here. Is there a solution in the works?

Hey Alyssa, this is a real pain and you've articulated it well. A broken sales workflow at the proposal stage undercuts everything downstream, and we hear you.
Right now, our primary focus in this space is Vendasta Vibe, our new AI-powered app builder that lets partners build custom tools using plain language — no developers required. We're already seeing early partners use it to create bespoke software tailored to their workflow, including things like proposal builders. It's a promising path for partners who need something purpose-built for their sales process while a native solution isn't on the immediate roadmap.
I'll be sharing a screenshot of what that can look like. While a fully native proposals and signatures feature isn't something we can commit to right now, I've noted this for our future planning sessions. Thanks for helping us build a better product!

Rylan Morris - Vendasta Thanks, Rylan. I appreciate the thoughtful response and the acknowledgment that this is a real sales workflow break.
I want to clarify, though, that what I’m asking for is not really a bespoke/custom app need. Proposals, client-facing pricing, acceptance/signature, and handoff into onboarding/billing are core parts of a sales CRM workflow.
Vibe may be a promising direction, but also puts me in the seat of product management rather than running my agency and utilizing the features I was promised before onboarding. For partners who want custom internal tools, mini-apps, dashboards, intake forms, calculators, portals, or process-specific workflows, that could be valuable. But that is not the same thing as replacing a core supported sales function.
If I built my own proposal/signature tool using Vibe, my next questions are:
- Can the client accept/sign legally and reliably?
- Is there an audit trail?
- Can it handle pricing tables, optional line items, recurring fees, and one-time fees?
- Can it sync deal status back to the CRM?
- Can it trigger automations when accepted?
- Can it create or update orders?
- Can it push billing details into QuickBooks?
- Who supports it when something breaks?
- What happens when Vendasta changes Vibe, Orders, CRM fields, or permissions?
Until those answers are solid, Vibe is an experiment, not a solution to this product issue.
If Vendasta is not committing to supporting this as a real workflow, then it would be more accurate for partners to know that we're on our own when it comes to a critical component of our sales process. Had I known this back in July before I signed an agreement, I would have gone another direction.
